Custom CRM Development.

A CRM built around how your business actually sells: pipelines, automation, WhatsApp, reporting and integrations you own outright, with no per-seat fees.

A custom CRM is worth building when your sales process does not fit the shape of an off-the-shelf tool, or when per-seat pricing has started to cost more than owning the software would. EqualPixels builds custom CRM systems, and the automations around them, for brokerages, agencies, travel operators and service businesses that outgrew a generic pipeline.

How a custom CRM build runs

Should you build a custom CRM or buy one off the shelf?

Buy first. HubSpot, Zoho, Pipedrive and Salesforce are cheaper than anything we can build for the first two years, and we will tell you so. Building starts to make sense when at least two of these are true:

  • Your process needs objects the standard CRM does not have, such as properties, units, itineraries, shipments or matters, and you are simulating them with custom fields
  • Seat licences are growing faster than revenue, or you need to give access to people you cannot justify licensing
  • The CRM is the product, or a customer-facing part of it
  • Data residency, regulation or client contracts prevent using a shared cloud tool
  • You are paying for three tools to do one job because none of them talks to the others

What custom CRM systems do we build?

  • Custom CRM platforms

Pipelines that match how you actually sell, role-based access, activity logging, quoting, task automation, reporting, and an interface your team will use without being chased.

  • Real estate CRM

Listings, units, viewings, portal feeds, agent assignment, commission tracking and WhatsApp follow-up. This is the domain we know best: EqualPixels builds and maintains real estate CRM systems including Houzez customisation and our own Vantix CRM product.

  • Travel and booking CRM

Enquiries to itineraries to bookings, supplier management, margin tracking, and automated traveller communication before and during the trip.

  • CRM migration and rescue

Moving off a CRM you have outgrown, or fixing one that was configured badly. We migrate data with a reconciliation report rather than a promise, and we keep the old system readable until you are confident.

  • CRM integrations and automation

Telephony, WhatsApp Business API, email, accounting, marketing platforms, portals and internal databases, so the CRM stops being a place people retype things into.

  • Reporting and forecasting

Dashboards your managers trust because the definitions are written down: what counts as a lead, when a deal is real, how attribution is calculated.

What does a custom CRM typically include?

ModuleWhat it covers
Contacts and companiesDeduplication, merge, ownership, history, consent tracking
PipelineStages, probability, rotting rules, required fields per stage
ActivityCalls, emails, WhatsApp, notes, tasks, automatic logging
AutomationAssignment, follow-up sequences, SLA timers, escalation
DocumentsQuotes, contracts, e-signature, versioning
ReportingPipeline, source attribution, agent performance, forecast
Access controlRoles, teams, record-level permissions, audit log
AI layerLead scoring, call and email summarisation, next-best-action, natural language search

What does an AI CRM add?

An AI CRM uses language models to do the typing, reading and sorting your team does around every deal. We add AI only where it saves real time, and every AI output stays editable and logged:

Lead scoring and routing
from the enquiry text, source and history, so the right agent picks it up first
Call, email and WhatsApp summaries
written to the contact timeline automatically
Follow-up drafting
in the customer’s language, ready for an agent to review and send
Natural language search
“three-bed villas under two million that this client has not seen yet” instead of six filters
Property and requirement matching
the kind of matching Vantix CRM does between client preferences and listings

How much does custom CRM development cost?

Custom CRM development with us typically starts at $15,000 for a focused first release covering one team’s pipeline. We scope module by module, so you can stage the investment and stop paying per-seat licences sooner.

What moves the price:

  • The number of modules: pipeline, documents, commissions, reporting
  • Integrations: WhatsApp Business API, telephony, email, accounting, property portals
  • How much legacy data has to be migrated and cleaned
  • User roles and record-level permissions
  • AI features such as lead scoring, summaries and matching

How long does a custom CRM take to build?

A focused custom CRM covering one team’s process usually takes three to five months to first production release, with a usable internal version in six to eight weeks. We release in stages so your team is working in it while the rest is built, rather than waiting for a single launch day.

How do we build a custom CRM?

  1. Process mappingTwo weeks with the people who sell, not only the people who manage.
  2. Data model firstGet the objects and relationships right and the interface becomes easy. Get them wrong and no amount of UI saves it.
  3. Thin slice to productionOne pipeline, one team, real data, early.
  4. Migrate with reconciliationRecord counts and spot checks signed off before cutover.
  5. Train and adoptAdoption is the risk in every CRM project. We plan for it explicitly.
  6. IterateThe first three months after launch produce the most valuable changes.

Which tech stack do we use for CRM development?

Laravel or Node on the backend, React or Next.js on the front end, PostgreSQL or MySQL, hosted on AWS, Google Cloud or your own infrastructure. Where a WordPress-based system is the right fit, such as Houzez for real estate, we extend that rather than rebuild it.

Our own Vantix CRM is a Laravel CRM with a React and TypeScript front end on PostgreSQL, with Laravel Horizon queues behind its WhatsApp and email notifications. For two-way WhatsApp messaging we build on Meta’s WhatsApp Cloud API, as in Odobase and Agenso, so conversations land in the CRM without a third-party inbox in between.

Should I build a custom CRM or use HubSpot or Salesforce?

Use the off-the-shelf tool until it stops fitting. Building becomes the better economic choice when your core objects are not contacts and deals, when seat costs outgrow the value, or when the CRM is part of what you sell. If none of those is true, we will recommend you stay.

How much does custom CRM development cost?

A focused custom CRM typically starts at $15,000. Cost scales with the number of modules, integrations and user roles, AI features, and how much legacy data has to be migrated and cleaned. We scope module by module so you can stage the investment rather than commit to everything up front.

Can you migrate our existing data?

Yes. We map fields, clean duplicates, migrate in a dry run first, and give you a reconciliation report comparing source and destination before cutover.

Do we own the source code?

Yes. Code, database and infrastructure are yours, in your repositories and your accounts. There is no licence and no lock-in to EqualPixels.

Can you add AI to our existing CRM instead of rebuilding?

Often that is the better first move. Lead scoring, call summarisation, automated follow-up drafting and natural language search can be added to most CRMs through their APIs, at a fraction of the cost of a rebuild.

What is the best CRM for a real estate brokerage?

For small teams, a configured off-the-shelf CRM with portal integration is usually enough. For brokerages managing their own listings, units and commission structures, a property-aware system such as Houzez or a purpose-built CRM handles the data model properly, which generic pipelines do not.

Who maintains it after launch?

We offer a monthly support and development retainer, or a full handover with documentation if you have an internal team. Both are normal, and we do not make handover difficult.

Can a custom CRM integrate with WhatsApp?

Yes. We connect the CRM to the WhatsApp Business API, usually through Meta’s Cloud API, so every message is logged against the right contact, agents reply from the CRM, and approved templates go out automatically for reminders and follow-ups.
