API & Systems Integration Services.
We connect your CRM, ERP, payment gateway, WhatsApp and AI tools with APIs, webhooks and middleware that we build, monitor and document for your team.
Systems integration is the work of making separate business applications share data and trigger each other automatically, through their APIs, webhooks and a layer of middleware, so nobody has to copy information between them by hand. EqualPixels builds API integrations between CRMs, ERPs, payment gateways, ecommerce platforms, messaging channels and AI models, then monitors them so they keep working when a vendor changes its API.
What is API and systems integration?
Most companies run on a handful of tools that were never designed to talk to each other: a CRM for sales, an accounting package for invoices, a payment gateway, a store, a support inbox. Integration connects them. A deal marked won in the CRM creates the customer in the ERP, a payment in Stripe marks the invoice paid, and a new order sends a WhatsApp confirmation, all without a person in the middle.
There are three building blocks. APIs let one system read and write another’s data on request. Webhooks let a system announce that something happened, so others react in seconds instead of polling. Middleware sits between them to translate formats, queue work, retry failures and keep a log of every message, which is what turns a fragile point-to-point script into something you can rely on.
Integration services we offer
CRM integration
HubSpot, Salesforce, Zoho CRM, Pipedrive or a custom CRM, connected to your website forms, ad platforms, email, WhatsApp and billing, with deduplication so the same lead never lands twice.
ERP and accounting integration
Orders, customers, stock and invoices kept in step between your ERP (SAP Business One, NetSuite, Microsoft Dynamics, Odoo) or accounting package (Xero, QuickBooks) and the systems that create them.
Payment gateway integration
Stripe, PayPal, Paddle, Square and regional gateways, with signed webhook verification, idempotent payment handling and reconciliation against your invoices, so a retried webhook never charges or credits twice.
Ecommerce and marketplace integration
Shopify, WooCommerce and Magento stores synced with marketplaces, shipping carriers and your warehouse, so orders, stock levels and tracking numbers flow without spreadsheets. See our ecommerce development service for the store itself.
Messaging and notifications
WhatsApp Business messages through Meta’s Cloud API, email, SMS and push notifications triggered by events in your systems. For WhatsApp approval, templates and inbox work, see WhatsApp Business API integration.
Custom APIs and middleware
When the systems you need to connect have no clean API, we build one: a documented REST or GraphQL API in Laravel, Django or Node.js, with authentication, rate limits and versioning, plus the queue-backed middleware that moves data between your tools.
Authentication and single sign-on
OAuth 2.0 connections to third-party platforms, SAML or OpenID Connect single sign-on for your staff, and token storage that keeps credentials encrypted and rotatable.
Can you integrate AI into our existing systems?
Yes. Connecting a language model to your CRM, help desk or document store is an integration problem first and an AI problem second. The model needs clean data in, a safe way to act on your systems, and logging of every call. We cover that in depth on our AI integration services page, and for letting ChatGPT or Claude use your tools directly, on MCP server development.
How do we build integrations that don’t break?
Integrations rarely fail on the day they launch. They fail six months later when a token expires, a vendor renames a field or a webhook arrives twice. Our build rules are aimed at exactly that:
- Queue everything
- Incoming webhooks are acknowledged quickly and processed from a queue, so a slow downstream system never causes the sender to give up and retry.
- Idempotent by design
- Every message carries an id and handlers are keyed on it, so a duplicate delivery does nothing the second time.
- Verify signatures
- Webhooks from Stripe, Meta and other providers are checked against their signing secret before anything is trusted.
- Retry with backoff, then alert
- Transient failures retry automatically; persistent ones go to a named person with the payload attached, not into a silent log.
- Budget paid APIs
- Maps, data and messaging APIs that bill per call get daily tallies and caching, so usage is designed in rather than discovered on the invoice.
- Contract tests
- We test against the vendor’s documented schema (an OpenAPI description where one exists) so a breaking change shows up in CI, not in production.
Our integration process
- Map the dataWe list every system, who owns each record, and which direction each field flows. Most integration bugs are really disagreements about the source of truth.
- Check API accessCredentials, rate limits, sandbox accounts and webhook support for every vendor, confirmed before we quote a date.
- Build in a sandboxAgainst test accounts and copies of real data, never against production on day one.
- Run in parallelThe integration runs beside your current manual process until the numbers match.
- Cut over and monitorDashboards for message volume and failures, plus alerts to your team or ours.
- Document and hand overA data map, runbook and credentials inventory, so your team owns it outright.
Integration tech stack
REST, GraphQL and SOAP APIs; webhooks; OAuth 2.0 (RFC 6749), SAML and OpenID Connect; Laravel queues with Horizon, Celery and Redis, and Node.js workers for middleware; PostgreSQL for logs and mapping tables; n8n where a visual workflow is easier for your team to maintain (see AI workflow automation); and the OpenAI and Anthropic APIs when a step needs a model to read unstructured text.
How much does systems integration cost?
A single integration between two systems with webhooks, retries and monitoring typically starts at about $3,000. Multi-system middleware, ERP synchronisation and custom APIs are quoted per project after a short data-mapping session, usually in the $8,000 to $25,000 range. The biggest cost drivers are the quality of each vendor’s API, how many exception paths need handling, and how much historical data has to be migrated.
Most single integrations take two to four weeks; a connected set across a department takes six to ten.
When is integration the wrong answer?
- One of the systems is about to be replaced
- Integrate with the new one, not the one on its way out.
- The data is unreliable at the source
- An integration moves bad data faster. Clean it, or fix the form that creates it, first.
- A native connector already exists
- If your CRM’s built-in connector covers the need, use it. We will say so.

What business systems can you integrate?
CRMs (HubSpot, Salesforce, Zoho, Pipedrive), ERPs and accounting (SAP Business One, NetSuite, Odoo, Xero, QuickBooks), payment gateways (Stripe, PayPal, Paddle), ecommerce platforms (Shopify, WooCommerce), messaging (WhatsApp Business API, Twilio, email), ad platforms, cloud storage and AI models. Anything with a REST, GraphQL or SOAP API or a webhook can be connected.
What is the difference between an API and a webhook?
An API is something you call to ask for data or make a change. A webhook is a call the other system makes to you when something happens. Good integrations use both: webhooks to react in seconds, APIs to fetch the full record and write back.
Do we need middleware, or can the systems connect directly?
Two systems with good APIs can connect directly for simple cases. As soon as you need retries, format translation, logging or a third system, a middleware layer is cheaper to run and far easier to debug.
How much does an API integration cost?
A single two-system integration with webhooks, retries and monitoring typically starts at about $3,000. Multi-system middleware and ERP synchronisation are usually $8,000 to $25,000, quoted after a short data-mapping session.
How long does an integration take?
Two to four weeks for a single integration, six to ten for a connected set across a department. Waiting for API access and agreeing the source of truth for each field usually take longer than the build.
How do you keep integrated data secure?
Credentials are stored encrypted and scoped to the minimum permissions, webhooks are verified against their signing secrets, traffic runs over HTTPS, and every message is logged so you can audit what moved where.
What happens when a vendor changes its API?
Contract tests and monitoring catch the change, usually before your team notices. On a maintenance plan we update the integration; otherwise the runbook shows your developers where to change it.
