Custom CRM or off-the-shelf: how to decide

Buy first. HubSpot, Zoho, Pipedrive and Salesforce are cheaper than anything we can build for the first two years, and we will tell you so. Building starts to make sense when at least two of these are true:

  • Your process needs objects the standard CRM does not have, such as properties, units, itineraries, shipments or matters, and you are simulating them with custom fields
  • Seat licences are growing faster than revenue, or you need to give access to people you cannot justify licensing
  • The CRM is the product, or a customer-facing part of it

How long does a custom CRM take to build?

A focused custom CRM covering one team’s process usually takes three to five months to first production release, with a usable internal version in six to eight weeks. We release in stages so your team is working in it while the rest is built, rather than waiting for a single launch day.

  1. Process mapping. Two weeks with the people who sell, not only the people who manage.
  2. Data model first. Get the objects and relationships right and the interface becomes easy. Get them wrong and no amount of UI saves it.
  3. Thin slice to production. One pipeline, one team, real data, early.
  4. Migrate with reconciliation. Record counts and spot checks signed off before cutover.
  5. Train and adopt. Adoption is the risk in every CRM project. We plan for it explicitly.
  6. Iterate. The first three months after launch produce the most valuable changes.

Should I build a custom CRM or use HubSpot or Salesforce?

Use the off-the-shelf tool until it stops fitting. Building becomes the better economic choice when your core objects are not contacts and deals, when seat costs outgrow the value, or when the CRM is part of what you sell. If none of those is true, we will recommend you stay.

How much does custom CRM development cost?

It scales with the number of modules, integrations and user roles, and with how much legacy data has to be migrated and cleaned. We scope module by module so you can stage the investment rather than commit to everything up front.

Can you migrate our existing data?

Yes. We map fields, clean duplicates, migrate in a dry run first, and give you a reconciliation report comparing source and destination before cutover.

Do we own the source code?

Yes. Code, database and infrastructure are yours, in your repositories and your accounts. There is no licence and no lock-in to EqualPixels.

Can you add AI to our existing CRM instead of rebuilding?

Often that is the better first move. Lead scoring, call summarisation, automated follow-up drafting and natural language search can be added to most CRMs through their APIs, at a fraction of the cost of a rebuild.

What is the best CRM for a real estate brokerage?

For small teams, a configured off-the-shelf CRM with portal integration is usually enough. For brokerages managing their own listings, units and commission structures, a property-aware system such as Houzez or a purpose-built CRM handles the data model properly, which generic pipelines do not.

Who maintains it after launch?

We offer a monthly support and development retainer, or a full handover with documentation if you have an internal team. Both are normal, and we do not make handover difficult.
