AI Workflow Automation

AI workflow automation is the practice of removing repetitive, rule-heavy work from your team by wiring your systems together and letting software, with AI where judgement is needed, run the process end to end. EqualPixels builds these automations with n8n, Make and custom code, then monitors them so they keep working when your tools change.

What is AI workflow automation?

Workflow automation connects the apps your business already uses so a trigger in one produces action in another without a person copying data between them. AI workflow automation adds a model to the steps that need judgement: reading an unstructured email, classifying an enquiry, summarising a document, drafting a reply.

The result is a process that runs on its own but still reads like your process, because the rules are explicit and every run is logged.

Automation services we offer

Process audit and automation roadmap

We shadow the work for a week, map every handoff, and return a list of automations ranked by hours saved per month against build effort. You get the roadmap whether or not you build it with us.

n8n development and hosting

We build in n8n because it is self-hostable, source-available and does not charge per task. That means your automation cost does not scale with your growth, and your data does not have to leave your infrastructure. We build the workflows, host them, and hand over documentation your team can maintain.

Make and Zapier build-out

Where a team is already committed to Make or Zapier, we build there and optimise operations usage, which is usually the single biggest lever on cost.

AI-assisted document and email processing

Invoices, purchase orders, CVs, contracts, supplier emails. We extract the fields you care about, validate them against your systems, and route exceptions to a human instead of guessing.

CRM and sales pipeline automation

Lead capture, deduplication, enrichment, routing, follow-up sequences, WhatsApp and email replies, and pipeline hygiene, so the CRM reflects reality without anyone maintaining it by hand.

Reporting and internal alerting

Scheduled pulls from your database, ad platforms and finance tools into one daily or weekly report, with alerts when a number moves outside the range you set.

n8n or Make: which should you use?

Choose n8n if cost predictability, data control or complex logic matter. Choose Make if you want a hosted tool with a gentler learning curve and your volumes are modest.

In practice we build most production work in n8n and keep Make or Zapier for the simple edges.

How long does an automation take to build?

A single workflow usually takes one to three weeks; a connected set of workflows across a department takes four to eight. The build itself is rarely the slow part. Getting API access, agreeing what happens to exceptions, and cleaning the data that the automation will depend on take longer than the wiring.

How we work

  1. Watch the process. We document what happens today, including the workarounds.
  2. Agree the exception rules. Every automation fails sometimes. We decide in advance who gets told and what happens next.
  3. Build in staging. Against real data, never against production on day one.
  4. Run in parallel. Automation and manual process side by side until the numbers match.
  5. Cut over and monitor. Error alerting, run history and a monthly review.
  6. Hand over. Documentation and a walkthrough, so your team can change small things without calling us.

When not to automate

  • The process is about to change. Automate a stable process, not one mid-redesign.
  • It runs a handful of times a month. The maintenance will cost more than the task.
  • Nobody agrees what the process is. Automation makes disagreement expensive. Settle it first.
  • The data is unreliable. Automation moves bad data faster.

Tools we connect

HubSpot, Salesforce, Zoho, Pipedrive, Odoo, Xero, QuickBooks, Stripe, Shopify, WooCommerce, WordPress, Google Workspace, Microsoft 365, Slack, WhatsApp Business API, Twilio, Airtable, Notion, Asana, Trello, Jira, PostgreSQL, MySQL, and anything with a REST API or webhook.

Frequently asked questions

What is the difference between workflow automation and an AI agent?

Workflow automation follows a fixed path you defined. An AI agent decides its own path toward a goal. Automation is cheaper, faster and easier to audit, so we use it wherever the rules are known and reserve agents for genuine judgement.

Is n8n better than Make for business automation?

For anything high-volume, logic-heavy or data-sensitive, yes, because n8n can be self-hosted, supports full code steps, and does not price per operation. For small hosted use cases with simple branching, Make is quicker to stand up and easier for a non-technical team to edit.

Can you host n8n for us?

Yes. We can deploy n8n in your cloud account or ours, with backups, version control on workflows, and access control. You keep ownership either way.

What happens when an automation breaks?

Every workflow we build has error handling, a retry policy and an alert destination. Failures go to a named person or channel with the run data attached, not into silence.

Will this replace jobs on my team?

In our experience it moves people off data entry and onto work that needs a person. We would rather scope automation around the tasks nobody wants than promise headcount reduction we cannot verify.

Do we own the automations?

Yes. Workflows, credentials, code and documentation are yours. If you self-host, we hand over the instance. There is no lock-in to EqualPixels.

How much does workflow automation cost?

It depends on how many systems are involved, whether their APIs are cooperative, and how many exception paths need handling. We quote per workflow after a short audit, and we tell you when a workflow will not pay for itself.
